You create a page with the EventAdmin shortcode. Logged-out visitors see registration. Admins can also create offline volunteer accounts when someone has no email address and assign that person manually.

Coordinator handoff and data boundaries

Before launch, decide who owns volunteer data, who may edit shifts, and how long contact details should be kept. The dedicated manager roles help reduce unnecessary Administrator access, but the organization still needs a clear internal policy for sensitive volunteer information, emergency contacts, and role eligibility.

Also document the handoff between recruitment and scheduling. A volunteer who can register for a shift is not automatically qualified for every role. If a position needs screening, training, age limits, safeguarding checks, or equipment certification, keep that eligibility process separate and only expose approved roles to the right people.

Before you rely on it for a live event

Run one realistic staffing cycle before inviting the full volunteer list. Create two departments, add overlapping shifts, set minimum and maximum staffing, register a normal volunteer, and verify the overlap and cancellation rules from that account. Then test a coordinator account using the delegated manager role rather than Administrator access.

Also export the volunteer and shift data once before launch. A roster tool becomes operationally important very quickly, so coordinators should know how to recover contact and assignment data if the site is temporarily unavailable.
