A hotel booking website has one job that a normal business site does not: it must sell real room availability without double-booking it. Guests need to choose dates, see a room they can actually book, understand the price, pay or reserve, and receive a clear confirmation. The hotel needs that same reservation to block the right inventory.

This guide uses WooCommerce Bookings for a small hotel or accommodation business because PluginSuggest already has a complete profile for it. Hotels with complex channel management, many room types, or deep OTA workflows should compare dedicated hotel plugins before choosing the final stack.

TL;DR

To build a hotel booking website with WordPress, use a booking plugin that supports date-based availability, room inventory, pricing rules, guest capacity, and payments. Compare dedicated options in our WordPress hotel booking plugins roundup. For this walkthrough, use WooCommerce with WooCommerce Bookings for room reservations and checkout. Create room types, model physical rooms or room capacity correctly, set nightly availability and rates, configure guest limits, connect payments, and complete a multi-night test booking. The site is ready only when the booking blocks the correct room inventory and the same dates cannot be sold again incorrectly.

Choose the booking architecture before building pages

Hotel booking is different from a generic appointment form. You need to manage nights, check-in and check-out, capacity, multiple physical rooms, seasonal or date-based pricing, and unavailable dates.

There are dedicated hotel booking plugins built specifically around those needs, so compare them in our hotel booking plugin roundup before committing. For this guide, we will use WooCommerce Bookings with WooCommerce because it supports bookable date ranges, resources, availability rules, persons, and WooCommerce checkout. WooCommerce also documents a free Accommodation Bookings add-on for overnight-stay behavior; if you use that extension, verify its current requirements and settings in the official WooCommerce documentation.

How to build a hotel booking website with WordPress

Step 01: List the room inventory exactly as the hotel operates it

Start with a room sheet, not WordPress. Record each room type, how many physical rooms exist in that type, maximum guests, bed setup, base nightly rate, amenities, and any dates the room cannot be sold.

Do not confuse a room type with a physical room. If you sell “Deluxe Double” and actually have five identical rooms, the booking system must know that five units can be sold for the same night.

Check: You can point to the exact number of physical rooms that should remain sellable after one reservation is made for every room type.

Step 02: Install WooCommerce and WooCommerce Bookings

Install and configure WooCommerce, then add WooCommerce Bookings. Confirm the store currency, business location, checkout pages, and customer details before creating accommodation products.

WooCommerce Bookings creates bookable products. For overnight accommodation, also review WooCommerce’s current Accommodation Bookings documentation because that add-on changes bookings to night-based stays with check-in/check-out behavior.

Check: WordPress shows the Bookings management area and you can create a Bookable Product without checkout errors.

Step 03: Create the first room type as a bookable product

Create one room type first, such as Deluxe Double Room. Add an accurate description, occupancy, bed information, amenities, cancellation summary, and real photos. Configure it as a date-based bookable product rather than a simple WooCommerce product.

Do not add every room type yet. One complete room lets you test the booking model before duplicating a configuration mistake across the hotel.

Check: The public room page shows the room information and a booking control that lets a visitor choose valid dates.

Step 04: Model physical rooms or capacity so you cannot oversell

WooCommerce Bookings supports resources. A resource can represent a room or other limited asset and can have its own availability. Use resources when you need the booking system to allocate a limited set of physical rooms behind one room type.

If five physical rooms are interchangeable, configure the booking allowance or resources so five valid reservations can exist for the same night but a sixth cannot. If rooms have different features or rates, separate them appropriately instead of pretending they are identical.

Check: Create the maximum allowed test bookings for the same date and confirm the next booking is unavailable.

Step 05: Set minimum stay, advance booking, and unavailable dates

Configure how far in advance guests can book, whether same-day booking is allowed, and any minimum stay or blocked dates the hotel actually uses. Add maintenance closures, private events, or seasonal shutdowns before launch.

Keep rules consistent with hotel operations. A two-night minimum on the website is useless if staff regularly accept one-night phone reservations for the same inventory without updating availability.

Check: Test one allowed date range and one blocked or invalid range. The booking form should behave differently and clearly.

Step 06: Configure nightly pricing and date-based changes

Set the base room cost, then add pricing rules only where the business has a real rule, such as weekends, peak season, holidays, or longer stays. Avoid building dozens of overlapping price ranges before you understand how the booking total is calculated.

After each rule, calculate one sample stay manually and compare it with the website total. If the guest total includes taxes, fees, or extras, make those understandable before payment.

Check: A two- or three-night stay crossing a pricing boundary returns the expected total when you calculate the nights independently.

Step 07: Add guest capacity and room-selection rules

Configure the number of adults or guests the room supports when the booking product needs capacity-based behavior. Do not let a customer book four guests into a room your hotel sells for two.

If children, extra beds, or additional guests change the price, model that deliberately and test the total. Do not hide occupancy limits only in a paragraph at the bottom of the page.

Check: Try a valid guest count and one above the room limit. The invalid request should not continue as a normal bookable stay.

Step 08: Connect payments and decide what confirms a reservation

Choose whether a reservation becomes confirmed after full payment, a deposit, manual approval, or another workflow supported by your setup. For online card payment, this guide uses WooCommerce Stripe Payment Gateway where Stripe is available.

The most important point is operational: staff must know what “Pending,” “Processing,” “Confirmed,” or another order/booking status means for room inventory. Do not manually sell a room because an online booking looks unfinished without checking whether it is already holding availability.

Check: Place a test booking and confirm the payment/order status you expect also produces the room-inventory behavior you expect.

Step 09: Test cancellations and manual bookings before launch

Hotels receive bookings from more than one channel. Test how staff add a phone or walk-in reservation and how a cancellation returns inventory to availability. A booking system that works only for perfect online transactions will create problems at the front desk.

Document who is allowed to cancel, modify, or manually add reservations. If the hotel also sells through OTAs, verify how those external reservations enter the system before relying on a single availability calendar.

Check: Cancel one test reservation and confirm the previously occupied room/date becomes available again only when your policy says it should.

Step 10: Decide whether you need OTA synchronization

If rooms are also sold on Booking.com, Airbnb, Expedia, or another channel, the WordPress calendar cannot be treated as the only source of truth unless those channels are synchronized. Dedicated hotel plugins may support iCal or deeper channel-management workflows; capabilities and sync speed vary.

Do not advertise “real-time OTA sync” unless your chosen system and channel connection actually provide it. iCal-based synchronization is not the same thing as a full channel manager.

Check: You know exactly how an external booking blocks WordPress inventory, how long synchronization can take, and which system staff should trust when availability conflicts.

Step 11: Run a complete guest booking from mobile

Open the hotel site logged out on a phone. Search or open a room, choose check-in and check-out dates, set guests, review the nightly total, enter customer details, pay or reserve, and read the confirmation.

Then return to the same dates as a second visitor and verify the remaining room inventory. Repeat until the room type reaches capacity.

Check: The guest receives a clear reservation result and the back end blocks exactly the inventory that booking consumed.

The biggest risk is inventory drift

Hotel websites fail when the website, front desk, and external channels disagree. A room sold by phone but not entered online can still be sold on the website. An OTA reservation that syncs late can create the same problem.

Choose one operational source of truth and train staff around it. Every booking, cancellation, room closure, and manual change needs to reach the availability system quickly enough to protect inventory.

Final launch check

Before launch, complete a multi-night booking for each room type you plan to sell. Verify dates, guest capacity, rate rules, taxes or fees, payment status, confirmation email, back-end booking record, and room availability after the booking. Test a cancellation, a manual booking, and a date where the room should be unavailable. If you sell on external channels, test the actual synchronization path instead of assuming it works.

Conclusion

A hotel booking site is ready when availability is trustworthy. Start with accurate room inventory, configure one room type completely, validate date rules and pricing, connect the reservation to payment, and test how bookings block and release real rooms. Add OTA sync, deposits, packages, and advanced hotel features only after that core inventory flow is dependable.

FAQs

Can WooCommerce handle hotel bookings?

Yes. WooCommerce Bookings supports date-based reservations, availability, people, resources, and checkout. WooCommerce also provides an Accommodation Bookings add-on for overnight-stay behavior such as night-based reservations and check-in/check-out times.

How do I prevent double bookings in WordPress?

Your booking plugin must know the real room inventory and block it when a reservation is made. Test the maximum number of simultaneous reservations for one date before launch.

Do I need a dedicated hotel booking plugin instead of WooCommerce Bookings?

Possibly. Dedicated hotel plugins can be a better fit for properties that need hotel-specific rate plans, room-type inventory, OTA synchronization, or property-management workflows. Compare those requirements before choosing the stack.

Can a WordPress hotel website sync with Booking.com or Airbnb?

Some hotel booking systems support iCal or other channel connections, but the method and synchronization speed vary. Verify the exact provider workflow and do not assume all “sync” methods are real-time channel management.

Should I accept full payment or a deposit for hotel bookings?

That depends on your hotel’s policy, payment gateway, cancellation terms, and booking plugin capabilities. Whatever you choose, test how the payment state affects reservation confirmation and room availability.
